Beginso uses cookies and similar technologies only for legitimate Platform purposes, such as operating and securing the service, remembering user choices, supporting authentication and sessions, and, where enabled and permitted, measuring Platform performance and usage. Non-essential cookies or similar technologies are used only in accordance with Applicable Law and, where consent is required, only after an appropriate consent choice has been obtained.

1. Introduction and Scope

1.1 About This Cookie Policy

This Cookie Policy ("Cookie Policy" or "Policy") describes how Beginso ("Beginso", "we", "us", or "our"), and/or its parent company, affiliates, subsidiaries and group entities, use cookies and similar technologies when you access or use the Beginso software-as-a-service form management platform available at https://beginso.com/, together with associated websites, web applications, public Form pages, dashboards, account pages, Workspace pages, marketing pages and related interfaces (collectively, the "Platform").

The Platform enables Users to create, customise and publish Forms; collect and review Respondent submissions; accept uploaded files; analyse responses; generate reports and exports; manage personal and shared Workspaces; collaborate with Team Members; and manage account, notification, security, session and device settings.

1.2 Relationship to the Privacy Policy and Terms of Use

This Cookie Policy is a standalone document that supplements, and is incorporated by reference into, the Beginso Privacy Policy and Terms of Use. It explains in greater detail the use of cookies and related technologies. In the event of an inconsistency on a cookie-specific matter, this Cookie Policy governs to the extent of that inconsistency. Capitalised terms not defined here have the meanings given in the Privacy Policy or Terms of Use.

• Registered Users who create or sign in to a Beginso Account
• Workspace Owners, administrators, Team Members and Authorised Users
• Respondents who access or submit information through a published Form
• visitors to Beginso websites, landing pages and marketing pages
• any other person whose browser or device interacts with the Platform

1.4 Your Choices in Summary

Strictly necessary technologies may be used without consent where they are required to provide, secure or maintain a service requested by the User. Non-essential analytics, preference or marketing technologies, if and when used, will be handled in accordance with Applicable Law. Where prior consent is required, Beginso will provide a mechanism to accept, reject, withdraw or modify that consent.

2. What Are Cookies and Similar Technologies

2.1 Cookies

A cookie is a small text file that a website or application places on a device when the service is visited or used. Cookies can enable a Platform to recognise a browser or device, maintain security, remember preferences, support sessions and, where permitted, understand how a service is used.

Cookies set directly by Beginso are commonly referred to as first-party cookies. Cookies set by a third-party service operating through the Platform are commonly referred to as third-party cookies.

2.2 Session and Persistent Cookies

Session cookies are generally temporary and expire when the browser or session ends. Persistent cookies remain for a defined period or until removed and may be used, for example, to remember consent or other permitted preferences across visits.

2.3 Similar Technologies

The Platform may also use technologies that are not technically cookies but perform related functions, including browser local storage, authentication tokens, device or session identifiers, server-side logs, security signals and similar technologies. Such technologies may be necessary to operate authentication, maintain sessions, detect abuse, manage devices, remember settings, or deliver functionality requested by the User.

Technical data generated through interaction with the Platform may include IP address, browser and device information, timestamps, session information, error or performance information and security logs, as further described in the Privacy Policy. Server-side processing of such data is not necessarily dependent on cookies placed on a Respondent's device.

3. Why We Use Cookies and Similar Technologies

Beginso may use cookies and similar technologies for the following purposes:

• to operate essential Platform functions and maintain secure sessions
• to authenticate Users and help maintain Account access
• to remember cookie or privacy choices where such controls are provided
• to protect the Platform against bots, automated abuse, fraud, malicious traffic and other security threats
• to support Workspace, device and session-management functionality
• to remember permitted interface or user preferences
• where lawfully enabled, to measure Platform performance, feature usage, errors and aggregate interaction patterns
• where introduced in future and permitted by Applicable Law, to support additional functionality disclosed in an updated version of this Policy

Beginso does not use cookies as a basis to claim ownership of Form Content, Respondent Data, uploaded files, reports, exports or other User Content. Any processing of such information is governed by the Privacy Policy, Terms of Use and, where applicable, customer instructions.

4. Categories of Cookies and Technologies

4.1 Strictly Necessary Technologies (Essential)

Strictly necessary technologies are required to operate or secure the Platform, provide functionality requested by the User, maintain a session, honour privacy choices, prevent abuse or preserve service integrity. Where Applicable Law recognises an exemption for such essential technologies, they may be used without separate consent.

4.2 Security Cookies and Infrastructure Technologies

Beginso may use security technologies supplied by hosting, content-delivery, authentication, anti-bot or infrastructure providers. These technologies may be set automatically where required to protect the Platform, manage trusted traffic, enforce rate limits, prevent automated submissions, detect abuse or mitigate cyberattacks. Beginso does not use such essential security technologies for unrelated behavioural advertising.

4.3 Analytics Technologies (Non-Essential Where Applicable)

Beginso may use analytics technologies to understand, in aggregate, how the Platform is used, how features perform, where errors occur and how the service can be improved. Where Applicable Law requires prior consent for analytics cookies or similar technologies, those technologies will not be activated until the required consent has been obtained.

The exact analytics provider, identifiers and retention periods may change as Beginso's technical stack evolves. Where a consent interface or live cookie inventory is provided, the current information displayed there forms part of this Policy and should be read together with this document.

4.4 Authentication and Sign-In

Beginso supports Account access, including email-based access and Google sign-in. Authentication may rely on cookies, browser storage, secure tokens or other session technologies, depending on the technical implementation in use at the relevant time. These technologies are used to provide the sign-in and session functionality requested by the User and to protect Account security.

4.5 Functional / Preference Technologies

Beginso may use functional technologies to remember permitted settings such as interface preferences, Workspace context, notification-related choices or similar product settings. Where such technologies are non-essential and Applicable Law requires consent, they will be used only after the required consent is obtained.

4.6 Advertising and Marketing Technologies

Beginso does not treat advertising or marketing cookies as strictly necessary. If Beginso introduces advertising, retargeting, marketing pixels, cross-context behavioural advertising or similar technologies in future, this Policy and the applicable consent interface will be updated, the relevant providers and purposes will be disclosed, and prior consent or opt-out controls will be provided where required by Applicable Law.

5. Public Forms, Respondents and Server-Side Processing

5.1 Public Form Pages

Respondents may access published Beginso Forms without creating a Beginso Account. Public Form pages may use strictly necessary or security technologies to operate the Form, prevent automated or malicious submissions, preserve Form integrity and maintain basic technical functionality.

5.2 Respondent Analytics and Technical Data

Where Beginso records technical information relating to a Respondent's interaction with a public Form for security, abuse prevention, diagnostics or permitted analytics, such processing is governed by the Privacy Policy. Some information may be processed server-side and therefore may not depend upon cookies placed on the Respondent's device.

Form Owners remain responsible for providing any notice required by Applicable Law regarding their own collection and use of Respondent Data. Beginso's cookie practices do not replace the Form Owner's independent privacy obligations.

5.3 File Uploads

Where a Form permits file uploads, cookies are not used to acquire ownership of or determine the substantive purpose of uploaded files. Uploaded files may be processed for storage, preview, download, security, technical operation and other purposes described in the Privacy Policy and Terms of Use.

5.4 Embeds and Third-Party Websites

A Beginso Form may be embedded into a third-party website or page. The third-party website may independently use its own cookies or tracking technologies, which are outside Beginso's control and are governed by that third party's privacy and cookie practices. Form Owners embedding Beginso Forms are responsible for ensuring that their host website provides any legally required cookie notices and controls relating to technologies used by that website.

6. Consent and Cookie Controls

6.1 Consent for Non-Essential Technologies

Where Applicable Law requires consent before a non-essential cookie or similar technology is used, Beginso will seek that consent before activating the relevant technology. Consent will be capable of being withheld or withdrawn without preventing access to core Platform functionality, except where the relevant technology is genuinely necessary for a feature specifically requested by the User.

6.2 Accepting or Rejecting Non-Essential Technologies

Where Beginso presents a cookie banner or consent interface, the choices made through that interface determine whether non-essential technologies are enabled. Strictly necessary or security technologies may continue to operate where they are required to provide or secure the Platform and are exempt from consent under Applicable Law.

6.3 Withdrawing or Changing Consent

Where consent has been given, it may be withdrawn or changed with effect for the future through the available cookie settings interface, by clearing relevant cookies or browser storage, or through browser/device controls, as applicable. Withdrawal does not affect the lawfulness of processing that occurred before withdrawal. Assistance may be requested at privacy@beginso.com.

6.4 No Forced Consent to Non-Essential Analytics

Where analytics or other non-essential technologies rely upon consent, a User or Respondent is not required to accept those technologies merely to access the core Platform or submit a public Form, except to the extent a particular technology is genuinely necessary for the requested functionality.

7. Managing and Controlling Cookies

7.1 Cookie Settings

Where a cookie settings control is made available on the Platform, it is the primary method for reviewing or changing non-essential cookie choices. Beginso may periodically re-present the consent interface where legally required or where material changes are made to cookie practices.

7.2 Browser and Device Controls

Most browsers allow Users to view, delete or block cookies and clear browser storage through privacy or security settings. Blocking or deleting strictly necessary technologies may affect Platform functionality, including sign-in, session continuity, security checks or remembered preferences.

7.3 Third-Party Analytics Controls

Where Beginso uses a third-party analytics provider, that provider may offer additional browser, device or account-level controls. Such third-party mechanisms are operated independently and are governed by the provider's own terms and privacy practices.

7.4 Email Tracking

If Beginso introduces email tracking technologies, such as open-tracking pixels, the relevant use will be disclosed in this Policy and handled in accordance with Applicable Law. Transactional email delivery logs or security records may be processed independently of email-tracking pixels as necessary to operate communications and protect the Platform.

7.5 Do Not Track and Global Privacy Control

Browser-based privacy signals, including Do Not Track ("DNT") and Global Privacy Control ("GPC"), are handled in accordance with Applicable Law and technically supported standards. Where Beginso is legally required to recognise an opt-out preference signal, Beginso will take appropriate steps to honour that signal for the processing to which it applies.

8. Regional Notes

This Section supplements the Policy with region-specific information and is read together with the regional provisions of the Beginso Privacy Policy. Where a mandatory regional rule conflicts with a general provision of this Policy, the mandatory regional rule prevails to the extent of that conflict.

8.1 India

For Users and Respondents in India, personal data processed through cookies or similar technologies is handled in accordance with the Digital Personal Data Protection Act, 2023 and other Applicable Law to the extent those laws apply. Where consent is the applicable legal basis, Beginso will seek consent through an appropriate interface and permit withdrawal in accordance with Applicable Law. Essential security and service technologies may be used where permitted for legitimate Platform operation, security and compliance purposes.

8.2 European Economic Area and United Kingdom

For Users in the EEA and United Kingdom, non-essential cookies and similar technologies are used subject to the consent requirements of applicable ePrivacy, PECR and data-protection laws. Strictly necessary technologies may be used without consent where the applicable legal exemption is satisfied. Personal data generated through such technologies is otherwise processed in accordance with the Beginso Privacy Policy.

8.3 California

For California residents, cookie and device data may constitute personal information under applicable California privacy law. Beginso does not treat the ordinary operation of essential cookies as a sale of personal information. If Beginso introduces processing that constitutes a "sale" or "sharing" for cross-context behavioural advertising under Applicable Law, the required notices and opt-out mechanisms will be provided.

8.4 Other Jurisdictions

For Users and Respondents in other jurisdictions, Beginso will apply cookie practices consistent with mandatory local requirements to the extent they apply. Any mandatory rights that cannot lawfully be waived are preserved.

9. Third-Party Providers

Beginso may rely on third-party providers for authentication, hosting, infrastructure, security, analytics, email delivery and related Platform operations. A third-party provider may place or read a cookie or similar identifier where necessary for the service it provides. Where such technology is non-essential and consent is legally required, Beginso will seek the required consent before activation.

Third-party providers process information under their own terms and privacy practices in addition to any contractual obligations owed to Beginso. Beginso is not responsible for independent tracking or cookies placed by a third-party website that is outside the Beginso Platform, including a website into which a Form has been embedded.

10. Changes, Contact and Acknowledgement

10.1 Changes to This Cookie Policy

Beginso may update this Cookie Policy from time to time to reflect changes in the Platform, cookie technologies, providers, authentication methods, analytics practices, consent mechanisms or Applicable Law. The current version will be published on the Platform with its effective or last-updated date. Where a material change requires renewed consent before a new non-essential technology is used, Beginso will seek such consent.
